Privacy Policy

01 Data we collect

• Account data (speakers/organizers only): your name, email address, a securely hashed password, and your preferred app language. Attendees do not create accounts and are not identified.
• Event content: the event names, session titles, speaker names, and descriptions you create.
• Audio & transcripts: when you tap "Start broadcasting," we upload short audio chunks captured by your device to our servers for transcription. We store the resulting text (the transcript) and any translations produced from it.
• Technical data: standard request metadata (IP, user-agent, timestamps) recorded by our servers for security and rate-limiting. We do not use analytics SDKs, advertising SDKs, or tracking pixels.

02 How we use your data

• To operate the transcription, translation, and QR-code broadcast features.
• To let attendees you invite (via QR code or link) read live captions in their chosen language, and to let anyone with the link download the transcript as a PDF while the session is public.
• To keep your account secure and to prevent abuse.

03 Third-party AI processors

To transcribe audio and translate text, we send your audio chunks and the resulting text to Google's Gemini API through the Emergent integrations service, under their standard terms. Google may process this data solely to return the transcription/translation and does not use it to train models under the API terms in force at the time of writing. No other third-party processors receive your content.

04 Attendee visibility

Any live session you start with Venuelingo can be viewed by anyone who has the session's QR code or attendee link, until you delete the session. Please make sure your audience understands the talk is being transcribed and translated.

05 Data retention

• Audio chunks are processed and are not retained beyond the request.
• Transcripts and translations are retained until you delete the session or your account.
• Account records are retained until you delete your account.

06 Your choices & rights

• Delete a talk: deleting a session removes its transcript and all cached translations.
• Delete your account: go to Settings → "Delete my account." This permanently removes your account, all your events, sessions, and transcripts. This action cannot be undone.
• You may also request access to a copy of your data by writing to us at the address in Section 9.

07 Security

Passwords are hashed with bcrypt. All traffic between the app and our servers is encrypted with TLS/HTTPS. No system is 100% secure — please notify us immediately if you suspect unauthorized access.

08 Children

Venuelingo is not directed at children under 13. Do not use the Service to record minors without appropriate consent from a parent or guardian.

10 Changes

We may update this Privacy Policy from time to time. Continued use of the Service after changes constitutes acceptance. Material changes will be reflected in the "Last updated" date above.
